Intelligent automation for New Zealand businesses

Scalient is an automation company. We build systems for NZ trades, service businesses and retailers whose week disappears into quoting, follow-ups and admin. Some of those systems use AI. Most of the time saved comes from plain plumbing between the tools you already have. This page explains the difference, what gets automated, what it costs and how long it takes. We are based in Christchurch and work all around New Zealand.

What automation means, and where AI comes in

Automation is software that connects the tools you already use, such as Xero, Gmail, HubSpot, Google Sheets and WhatsApp, so that a job detail is typed once and flows everywhere it needs to go. A booking lands in the calendar. An invoice appears in Xero. A reminder goes out on time. None of that needs AI, and most of the hours we give back come from exactly this kind of plumbing.

AI comes in for the judgement steps a person used to do: reading an enquiry and working out what the customer wants, drafting a quote or a reply, deciding which quiet quote is worth chasing. We use it where it earns its place, with a person approving anything that goes to a customer. It is not a chatbot bolted onto your website, and it is not another piece of software for your team to learn.

What we automate

  • Lead capture and first reply. Every enquiry from your website, email, phone or socials gets a reply and a next step, without anyone picking up the phone.
  • Quoting. Enquiries turn into a priced quote for you to approve and send, in minutes rather than the end of the day.
  • Bookings. Jobs and appointments land straight in your calendar, with confirmations and reminders handled for you.
  • Follow-up. Quotes and customers that have gone quiet are followed up automatically, and some of them say yes.
  • Invoicing and Xero. Job details flow into Xero once instead of being retyped, with GST and the way you invoice built in.
  • Reporting. A monthly readout of hours saved and revenue recovered, so you can see what the system is doing.

What changes in the first 14 days

Same team, same tools, fewer steps between a lead landing and an invoice going out. The results below are the pattern we see across builds:

  • Quote time cut to about four minutes. Enquiries get a priced quote back before the customer has moved on to the next tradie.
  • Three times the leads worked with the same team. Every lead gets a reply and a booked slot.
  • Recovered pipeline. Old quotes and quiet customers get followed up automatically. One follow-up system alone recovered over $50,000 of pipeline.

A typical owner-operator spends around eleven hours of every week on approvals, retyping the same details and chasing what has gone quiet. That is the time these systems give back.

How an engagement works

  • Free automation audit. Thirty minutes on Google Meet, or on site. We walk your current process end to end and time every step. You leave with a build plan and an hours-saved number, whether or not we work together.
  • Fixed scope and quote. Scope, deliverables and fees are confirmed in writing before any build begins. Fees are in NZD excluding GST, usually split into a deposit and a completion payment.
  • Build and handover. We connect your tools, build the workflows and agree the review points where you approve what goes out. Handover is on site when it matters.
  • Run and report. Ongoing monitoring and a monthly readout are available on a retainer, billed monthly in advance and cancellable with 30 days' notice.

Built for New Zealand

  • NZ hours, real people. Same-day replies from the people who built your system, not an offshore ticket queue.
  • Xero, GST and the way you invoice. Built around New Zealand tools and tax, not adapted from overseas templates.
  • On site when it matters. We will come to your yard, shop or office for the audit and the handover.
  • Privacy Act 2020. Encryption in transit and at rest, least-privilege access, revocable integration tokens, and your data is never used to train third-party AI models.

Tools we connect

Xero, HubSpot, Gmail, Google Sheets, Google Calendar, Google Drive, Google Forms, Google Maps, Stripe, Shopify, WhatsApp, Notion, Airtable, Zoho, QuickBooks, Calendly, Telegram, Mailchimp, Trello, Asana, Dropbox, Typeform, Intercom, Zendesk, ClickUp and Discord. If your tool has an API or an email inbox, it can almost certainly be connected.

Common questions

What is automation for a New Zealand business, and where does AI come in?

Automation is software that connects the tools a business already uses, such as Xero, Gmail, HubSpot, Google Sheets and WhatsApp, so details are typed once and flow everywhere they need to go. AI is added for the judgement steps a person used to do: reading an enquiry, drafting a quote or reply, deciding which quiet quote to chase. It is not a chatbot bolted onto your website and it does not require new software to learn.

What does Scalient automate?

Lead capture and first reply, quoting, bookings straight into your calendar, follow-up on quotes that have gone quiet, invoicing and Xero, and reporting. Each build is scoped to the business, so the exact workflow depends on where your hours are going.

How much does automation cost in NZ?

Every engagement starts with a free automation audit. After the audit you get a fixed scope and quote in writing before any build begins. Fees are in New Zealand dollars excluding GST. Build fees are typically split into a deposit and a completion payment; optional ongoing monitoring is billed monthly in advance.

How long does it take to see results?

The first changes land within 14 days of starting a build: quotes going out in minutes instead of hours, every lead getting a reply and a booked slot, and old quotes being followed up automatically.

Do I need to buy or learn new software?

No. Scalient connects what you already have and makes it talk. You keep using Xero, your email, your calendar and your CRM the way you do now.

Which tools can Scalient connect?

Xero, HubSpot, Gmail, Google Sheets, Google Calendar, Google Drive, Google Forms, Google Maps, Stripe, Shopify, WhatsApp, Notion, Airtable, Zoho, QuickBooks, Calendly, Telegram, Mailchimp, Trello, Asana, Dropbox, Typeform, Intercom, Zendesk, ClickUp and Discord, among others.

Where is Scalient based and do you work outside Christchurch?

Scalient is based in Christchurch and works with businesses all around New Zealand. Support is in New Zealand hours with same-day replies from the people who built your system, and we come on site for the audit and the handover when it matters.

Is my customer data safe?

Personal information is handled under the New Zealand Privacy Act 2020, with encryption in transit and at rest, least-privilege access and revocable integration tokens. Your data is never used to train third-party AI models.

Does a person still check what gets sent?

Yes, where it matters. Guardrails and human review points are agreed during the audit, so quotes, messages and invoices can be approved by you before they go out.
